00:02:12.020 --> 00:02:24.740
If you've looked at a calendar and counted the weeks between now and the end of the year, and you thought to yourself, there is so much time, I'm here to tell you I thought the exact same thing, and then I actually counted.
00:02:24.819 --> 00:02:30.819
And I'm here to tell you that what a calendar showed versus the number I actually have were nowhere close.
00:02:30.979 --> 00:02:38.500
And by the end of this episode, I want to make sure that you know what your real capacity is from now to the end of the year.
00:02:41.620 --> 00:02:44.019
Welcome to the Work Life Harmony Podcast.
00:02:44.259 --> 00:02:45.060
Guess what?
00:02:45.219 --> 00:02:48.819
You don't have to feel constantly overwhelmed, exhausted, and stressed out.
00:02:48.979 --> 00:02:50.419
There is another way.
00:02:50.659 --> 00:02:56.180
When you have the right systems and tools to plan and manage your time, you can live a life of harmony.
00:02:56.340 --> 00:03:00.579
If you're ready to stop feeling overwhelmed, this is the show for you.
00:03:02.419 --> 00:03:05.219
Hey friends, welcome back to Work Life Harmony.
00:03:05.460 --> 00:03:12.659
So the fact is, at the time this episode is dropping, we've basically got like 14 weeks until the end of the year.
00:03:12.740 --> 00:03:17.379
And I'm not saying this to freak you out or put you into holiday stress mode.
00:03:17.620 --> 00:03:28.259
What I really want out of today is helping you to understand that when it comes to managing and planning our time, it's a lot like having a budget, financial budget.
00:03:28.500 --> 00:03:42.180
And right now, the vast majority of women are thinking about the rest of the year as if they have way more time than they actually do.
00:03:42.420 --> 00:03:49.699
So they're mentally thinking there's a huge amount of money slash time in their account for the rest of the year.
00:03:50.019 --> 00:03:56.340
But subtly, what they don't realize is they likely have way, way less.
00:03:56.579 --> 00:04:10.740
And by the end of this episode here today, I'm going to walk you through an exercise to help you understand what is the difference between what might look like 14 weeks versus what you actually have.
00:04:10.980 --> 00:04:17.779
And again, the reason I it's so important for you to do this work right now is not to put you into panic mode.
00:04:17.939 --> 00:04:18.259
All right.
00:04:18.420 --> 00:04:28.259
It's to prevent you from actually having way more stressed and for getting overbooked and overscheduled from now to the end of the year.
00:04:28.579 --> 00:04:39.460
Because the fact is, as soon as like October hits, it just kind of seems like that last quarter of the year is a total blur, right?
00:04:39.620 --> 00:04:42.340
October is full of fall festivals and this and that.
00:04:42.500 --> 00:04:44.100
Maybe you're a big Halloween fan.
00:04:44.259 --> 00:04:54.340
And then as soon as the last trick-or-treater, right, leaves your front porch on October 31st, it is gentlemen, start your engines when we deal with November and December.
00:04:54.500 --> 00:04:58.980
And this is especially true if you've got young kids at home, right?
00:04:59.060 --> 00:05:05.939
You know the amount of stuff that typically goes on in those last two months coupled with all of the end of year holidays.
00:05:06.340 --> 00:05:19.379
So I want to walk you through the exercise that I just went through recently that was a really big wake-up call for me as I am getting prepped for now to the end of the year.
00:05:19.620 --> 00:05:28.100
If I were to look at the calendar, just an actual calendar and count the number of weeks between now to the end of the year, it starts with I had 14 weeks.
00:05:28.180 --> 00:05:31.139
And 14 weeks to me, I'm like, that's massive, right?
00:05:31.220 --> 00:05:34.259
That's more than just even one quarter's worth.
00:05:34.659 --> 00:05:49.860
Now, the first thing I want you to think about are any holiday weeks that mean for you that there are significant chunks of time where your traditional capacity to kind of get things done, right?
00:05:50.100 --> 00:05:53.620
Thinking about conquering that to-do list or projects or whatever.
00:05:53.939 --> 00:06:01.539
Do you have any holiday weeks that maybe you're on travel, people are coming to you, your kids are off from school.
00:06:01.699 --> 00:06:04.340
So you know your capacity goes way, way down.
00:06:04.659 --> 00:06:23.699
And when I layered just that one thing in in my life, there is a fall break, there is the full week off over Thanksgiving, and then the last two weeks of December, where I go into just kind of 100% mom mode.
00:06:23.779 --> 00:06:26.100
All right, because that's when school is out.
00:06:26.259 --> 00:06:31.540
And some of those holidays we will have company here, others we may be traveling.
00:06:31.779 --> 00:06:42.579
So just by layering in that first thing, which is really looking at holidays that brought what looked like 14 weeks all the way down to 10.
00:06:42.740 --> 00:06:46.019
That took 28% of my capacity away.
00:06:46.259 --> 00:06:50.019
And we need to remember that because that's a significant chunk.
00:06:50.259 --> 00:06:50.579
All right.
00:06:50.740 --> 00:06:59.540
Now, tied to this, you may also, you know, you may say, hey, we don't have a fall break, but maybe you have several four-day weekends for school breaks, right?
00:06:59.620 --> 00:07:02.899
Where there's teacher work days or closed days from school.
00:07:03.139 --> 00:07:11.620
So you again layer in those holidays and those days off from school and now assess how much time do you actually have left.
00:07:11.860 --> 00:07:27.060
Okay, now the next part of this is to look at your calendar and see do you already have events or activities that you've committed to on your calendar that take a significant chunk of time?
00:07:27.219 --> 00:07:27.459
All right.
00:07:27.620 --> 00:07:34.740
I'm not talking about, you know, the one-hour dentist appointment or the one, you know, the evening holiday party.
00:07:34.980 --> 00:07:38.500
I'm talking about maybe there's a conference for work, right?
00:07:38.579 --> 00:07:44.500
Maybe there's an event or an activity going on that's going to take a significant amount of your time.
00:07:44.660 --> 00:07:45.060
All right.
00:07:45.219 --> 00:07:53.779
So I'll give you an example in my life, the week of Planopalooza, which again is October 22nd and 23rd.
00:07:54.019 --> 00:07:56.819
That whole week is pretty much spoken for for me.
00:07:57.060 --> 00:08:04.259
I spend the three days prior to the event really prepping, practicing, dotting my I's, crossing my T's, and the two days of the event.
00:08:04.500 --> 00:08:09.779
I know I'm not getting anything of significant time getting done during that week.
00:08:09.860 --> 00:08:11.540
So that's a whole other week.
00:08:11.699 --> 00:08:21.379
And then there's a week in early December where I am holding a small live event for other online entrepreneurs.
00:08:21.540 --> 00:08:28.500
So that was another two weeks where my capacity is already spoken for.
00:08:28.660 --> 00:08:30.819
So again, go back to your calendar.
00:08:30.980 --> 00:08:31.939
Look, do you have it?
00:08:32.019 --> 00:08:33.299
Doesn't even have to be a full week.
00:08:33.379 --> 00:08:36.819
Maybe it's three days in one place and three days in another.
00:08:36.980 --> 00:08:41.539
All right, but we need to figure out how much time is already spoken for.
00:08:41.779 --> 00:08:44.180
So that that took two more weeks away.
00:08:44.339 --> 00:08:50.500
So now I'm down to eight weeks of availability out of those original 14.
00:08:50.660 --> 00:08:55.620
And then finally, I looked at my weekends in particular.
00:08:55.860 --> 00:08:58.899
Did I have weekends already spoken for?
00:08:59.220 --> 00:09:05.700
For things like, you know, we we preserve an entire weekend here in our home for holiday decorating, right?
00:09:05.779 --> 00:09:13.299
That's kind of an all-weekend event for us, similar for doing some fall decorating and then holiday decorating.
00:09:13.539 --> 00:09:18.100
Maybe you host a party sometime during Q4.
00:09:18.579 --> 00:09:30.180
When I went through and looked at any weekend commitments that we had and added all of those up, that was another full week of time spoken for.
00:09:30.660 --> 00:09:42.019
So by subtracting out those school breaks, the things on my calendar that that were commitments that take up a significant amount of time, any holiday plans.
00:09:42.259 --> 00:09:46.819
This took my 14 weeks down to having seven available weeks.
00:09:46.980 --> 00:09:50.500
That's a 50% reduction of capacity.
00:09:51.059 --> 00:09:54.420
That is not an insignificant number.
00:09:54.980 --> 00:09:58.180
And I want you to go through this same process.
00:09:58.339 --> 00:10:03.059
Now, you don't need to take the final step to figure out what percent capacity reduction it is.
00:10:03.220 --> 00:10:08.660
But what you need to do is understand how many weeks are you actually working with?
00:10:09.139 --> 00:10:13.220
Because the fact is there's the weeks you can count on a calendar.
00:10:13.379 --> 00:10:14.740
For mine, it was 14.
00:10:14.899 --> 00:10:19.460
And then there's the weeks you have actual capacity for, which for me is seven.
00:10:19.620 --> 00:10:21.620
Seven is the real number.
00:10:22.100 --> 00:10:30.980
That is the number that I need to remember as requests for my time and invitations start coming in.
00:10:31.379 --> 00:10:35.700
Because if I'm thinking 14, right, I'm gonna be saying yes to a lot of stuff.
00:10:35.940 --> 00:10:48.500
If instead I'm thinking seven, I'm probably gonna take a pause and take a minute to make sure that I'm saying yes to the right things and maybe saying thanks, but I can't to the others.
00:10:48.740 --> 00:10:57.940
Now again, I'm encouraging you to go through this exercise, not to freak you out or stress you out or have you been like, great, thanks, Megan.
00:10:58.019 --> 00:10:59.940
You know, now I feel even worse.
00:11:00.259 --> 00:11:10.420
I'm encouraging you to identify what your real number is so that you can protect and preserve what you need on purpose, right?
00:11:10.579 --> 00:11:15.460
When you know the real number that helps you from overextending.
00:11:15.619 --> 00:11:21.859
It's no different than if you walked, you went out to do shopping, whether it's grocery shopping, holiday shopping, whatever.
00:11:22.099 --> 00:11:40.099
If you walked in with cash in hand instead of a credit card and you could only spend the cash that you had, right, you're going to shop differently than if you walked in there thinking, I can spend whatever I need to spend or whatever I feel like spending.
00:11:40.339 --> 00:11:41.940
You make different choices.
00:11:42.180 --> 00:11:49.940
You can still achieve what you want in terms of getting groceries for the week or getting gifts for people again, whatever you're shopping for.
00:11:50.180 --> 00:11:59.140
But when you know what your budget is and you put the parameters in place to ensure that you don't overextend it, this helps you not get in financial debt.
00:11:59.380 --> 00:12:03.140
Well, the same thing applies to us with our time, right?
00:12:03.299 --> 00:12:17.700
If we know what our real capacity is, it means we don't overextend ourselves and we stop setting expectations for things that have no way of happening because you simply don't have the time.
00:12:17.940 --> 00:12:20.819
So this isn't about scarcity.
00:12:21.299 --> 00:12:32.980
This is about having relief and really clear understanding because you can only plan honestly when you're planning against a real number.
00:12:33.140 --> 00:12:36.339
And the real number being what your real capacity is.
00:12:36.579 --> 00:12:45.940
And again, this is what helps you decide what you want to say yes to on purpose instead of throwing out a plan and then just like, okay, I hope it works.
00:12:46.019 --> 00:12:49.460
I'll just keep grinding and waking up earlier and staying up later.
00:12:49.779 --> 00:13:13.299
I know, you know, for me, because I know I'm working now at a capacity of seven weeks, I know right now that if a request for my time pops up that requires any kind of significant travel where I might need to be gone four or more days, I'm likely going to say no, unless the trade-off is just too great of something for me to say yes to.
00:13:13.779 --> 00:13:28.900
Just last week, I had three different invitations spanning November and into December that if I had said yes, all three of those combined would have taken another 10 days of my capacity away.
00:13:29.140 --> 00:13:37.700
Because I know I'm working with those seven weeks and I know there are things that I, you know, want to be working on, need to be working on.
00:13:37.940 --> 00:13:40.579
I said no to all three of those invitations.
00:13:40.740 --> 00:13:44.259
The trade-off wasn't worth the reduction of my capacity.
00:13:44.500 --> 00:13:54.180
Now, an invitation did come in that I chose to say yes to because it was a small hit on capacity and it was aligning with my core values.
00:13:54.339 --> 00:13:57.380
So that was something that felt good to say yes to.
00:13:57.539 --> 00:14:02.740
You know, I'm not trying to get on the bandwagon where people start doing the only X number of shopping days left.
00:14:02.819 --> 00:14:04.339
That's not what this is about, right?
00:14:04.420 --> 00:14:16.259
It's to help you protect and preserve the usually very minimized capacity that women operate from this time of year so that you don't get overextended.
00:14:16.500 --> 00:14:24.180
And this kind of longer-term strategic planning is a lot of the work that we do at Planapalooza.
00:14:24.339 --> 00:14:30.180
So if you've not gotten your ticket yet, I would encourage you to go grab it, megansumroll.com forward slash plan.
00:14:30.579 --> 00:14:34.019
I hope that I get to see you there October 22nd and 23rd.
00:14:34.259 --> 00:14:41.779
And in the meantime, I encourage you, next time you're sitting in front of your calendar, walk through this exercise, right?
00:14:41.940 --> 00:14:53.859
Determine what is your real capacity between now and the end of the year, and then allow that to support awesome decision making for the rest of the year.
00:14:54.099 --> 00:14:56.099
All right, friends, I'll see you back here next week.
00:14:56.180 --> 00:14:58.259
And in the meantime, happy planning.
00:15:00.099 --> 00:15:06.500
Getting on top of all things, time management, organization, and productivity doesn't have to stop just because this episode is over.
00:15:06.740 --> 00:15:15.940
If you are feeling overwhelmed, your calendar's out of control, or you're just running in a race that will never end in terms of your to-do list, I have great news for you.
00:15:16.180 --> 00:15:20.420
I have an app in both the App Store and Google Play called the Pink Bee.
00:15:20.660 --> 00:15:26.740

00:15:26.980 --> 00:15:34.980
It includes my signature Ditch the Overwhelm training and introduction to my time management framework built specifically for women.
00:15:35.220 --> 00:15:43.859
So open up either your app store or Google Play, do a search on the word the Pink Bee, all one word, and download the app to get started today.
