00:00:00.239 --> 00:00:03.439
If you want to accomplish something, you need to make time for it.
00:00:03.680 --> 00:00:08.720
If you never reserve time to work on your goal, you're leaving its completion to chance.
00:00:08.880 --> 00:00:13.039
And chance is not a particularly reliable productivity strategy.
00:00:14.320 --> 00:00:20.480
Are you ready to finally break free from overwhelm, procrastination, and burnout?
00:00:20.719 --> 00:00:31.600
If you're ready to focus on what truly matters and create momentum to reach and exceed your goals in business and in life, then this podcast is for you.
00:00:31.839 --> 00:00:40.880
Welcome to the Efficiency Advantage, the podcast where clarity meets action and purpose that fuels your progress.
00:00:41.280 --> 00:00:48.479
So here's world-class productivity expert and your host, Coach Julie.
00:00:55.439 --> 00:00:58.640
Welcome back to the Efficiency Advantage Podcast.
00:00:58.719 --> 00:01:00.640
I'm Julie Shulam, your host.
00:01:00.880 --> 00:01:05.599
So here we are, approaching the final quarter of the year, and I have a question for you.
00:01:05.920 --> 00:01:09.840
Do you remember the New Year's resolutions you made back in January?
00:01:10.079 --> 00:01:13.920
Not the ones you casually mentioned to someone at a party or a gathering.
00:01:14.079 --> 00:01:18.159
I mean the goals you genuinely intended to accomplish this year.
00:01:18.319 --> 00:01:23.280
The ones that mattered enough that you told yourself, this year I'm going to make this happen.
00:01:23.519 --> 00:01:33.359
Maybe you wanted to grow your business, get healthier, write a book, improve your finances, get organized, spend time with family, whatever it is.
00:01:33.599 --> 00:01:39.280
Now, here's the most important question: where do you stand with those goals today?
00:01:39.920 --> 00:01:42.319
If you don't know, you are not alone.
00:01:42.480 --> 00:01:52.400
Many people set goals at the beginning of the year, get swept up into the demands of everyday life, and don't revisit those goals until the end of December.
00:01:52.640 --> 00:01:59.519
Now that is when they suddenly realize that the year is basically over and the things they wanted most have been pushed aside.
00:01:59.760 --> 00:02:01.359
But we're not in December yet.
00:02:01.519 --> 00:02:04.079
We have an opportunity to do something about it.
00:02:04.319 --> 00:02:14.000
Today I want to talk to you about why evaluating your goals before the fourth quarter begins can be one of the most productive decisions you make all year.
00:02:14.319 --> 00:02:30.319
So we're going to look at how to assess what is working, what is not, what still matters, and how to use these final three months of this year to your advantage rather than arriving at the end of the year and wonder where the time went.
00:02:30.639 --> 00:02:34.319
So have you ever wondered why we wait until the end of the year?
00:02:34.560 --> 00:02:38.800
There's something about January that makes everything feel possible, right?
00:02:38.960 --> 00:02:45.919
We have a fresh calendar, a sense of renewal, and perhaps a little more motivation than we did maybe the end of the year.
00:02:46.159 --> 00:02:50.400
We imagine the person we want to become and the things we want to accomplish.
00:02:50.560 --> 00:02:52.479
And then, you know, life happens.
00:02:52.719 --> 00:03:02.960
The first quarter is busy, spring then arrives, summer brings vacations and family commitments and all kinds of changes in our lives and maybe some unexpected demands.
00:03:03.120 --> 00:03:05.199
And before we know it, some temper is here.
00:03:05.439 --> 00:03:11.919
The problem is not necessarily that we stopped caring about our goals, is that we stopped looking at them.
00:03:12.240 --> 00:03:22.159
When a goal is not visible in our daily or weekly decision making, it becomes very easy for the urgent to take precedence over the important.
00:03:22.639 --> 00:03:24.560
We respond to what is in front of us.
00:03:24.719 --> 00:03:32.800
We handle the emails and meetings and requests and kids and schedules and everything else that comes up that is demanding our attention.
00:03:32.960 --> 00:03:39.120
Meanwhile, the goal that mattered so much in January quietly moves further into the background.
00:03:39.360 --> 00:03:44.400
This is especially common with goals that do not have an external deadline.
00:03:44.639 --> 00:03:48.479
If you have a deliverable due Friday, you're probably going to make time for it.
00:03:48.639 --> 00:04:00.879
But if your goal is to write a book or improve your health or learn a language, then maybe, you know, if no one's standing over you asking when it's going to be completed, yeah, it waits.
00:04:01.360 --> 00:04:13.360
This is why you may hear often that goals need regular evaluation, because we need to know whether our intentions are actually moving us toward the things we say that we want.
00:04:13.680 --> 00:04:24.879
Now, one of the things I see frequently in my coaching practice is that people have very clear intentions, but they've not translated those intentions into an actual working plan.
00:04:25.199 --> 00:04:31.680
They say, I want to be more productive, or I want to get organized, or I want to have better balance in my life.
00:04:31.839 --> 00:04:36.639
Those are worthwhile aspirations, but they're not yet actionable.
00:04:36.959 --> 00:04:43.439
Until you define the outcome, it's difficult to determine whether you're making any progress.
00:04:43.680 --> 00:04:47.600
And even when the outcome is clear, there's another step.
00:04:47.920 --> 00:04:51.519
Deciding what you will actually do to achieve it.
00:04:51.839 --> 00:04:56.240
Maybe the resolution is I want to write a book this year.
00:04:56.480 --> 00:05:00.959
A plan might be, I will complete my manuscript by October 15th.
00:05:01.120 --> 00:05:05.279
Send it to my editor and reserve three writing sessions each week to make that happen.
00:05:05.519 --> 00:05:06.720
Do you see the difference?
00:05:06.959 --> 00:05:10.959
One is an intention, the other is actually a path or a plan.
00:05:11.120 --> 00:05:16.800
Now I'm not suggesting that every goal needs to be rigid or that life should be scheduled down to the minute.
00:05:16.959 --> 00:05:24.000
But if something is important enough to be a goal, it deserves a place in your calendar and in your decision-making process.
00:05:24.160 --> 00:05:29.360
Otherwise, it is competing with everything else in your life without any protection.
00:05:29.759 --> 00:05:41.199
September is a particularly useful time to conduct this kind of review because we are so close to the end of the year to feel that sense of urgency, but we still have enough time to make some changes.
00:05:41.439 --> 00:05:44.720
Three months is not an insignificant amount of time.
00:05:44.959 --> 00:05:47.920
Think about what can happen in 12 or 13 weeks.
00:05:48.079 --> 00:05:56.959
You can complete a substantial project, establish a new routine, make meaningful progress on a health goal, strengthen some important relationships.
00:05:57.120 --> 00:06:02.399
I mean, there's so many things that you can do that'll carry you into the next year.
00:06:02.720 --> 00:06:09.759
But these three months can also disappear remarkably quickly if you do not decide how you want to use them.
00:06:10.000 --> 00:06:12.160
And that is really the point of this episode.
00:06:12.319 --> 00:06:19.439
I don't want you to reach December 28th, look back at your January goals and say, oh my goodness, I completely forgot about that one.
00:06:19.680 --> 00:06:28.319
How great would it feel if you could say, I looked at where I was in September and I made some new decisions and used the final quarter intentionally.
00:06:28.639 --> 00:06:31.680
So here's a step-by-step game plan that you can follow.
00:06:31.839 --> 00:06:35.040
Step one, revisit what you actually wanted.
00:06:35.279 --> 00:06:44.000
The first thing I encourage you to do is to find the goals or resolution or resolutions, I'll get the word out, you wrote down at the beginning of the year.
00:06:44.240 --> 00:06:46.959
Now, if you did not write them down, that's okay.
00:06:47.120 --> 00:06:48.399
No harm, no foul.
00:06:48.560 --> 00:06:50.879
Take a few minutes to write them down.
00:06:51.120 --> 00:06:54.000
What did you hope would be different by the end of this year?
00:06:54.160 --> 00:06:55.519
What were you excited about?
00:06:55.680 --> 00:06:57.519
What did you want to change?
00:06:57.759 --> 00:07:01.920
And please do not immediately judge yourself as you read through them.
00:07:02.079 --> 00:07:03.439
You're gathering information.
00:07:03.600 --> 00:07:08.240
You're looking at what you intended, what has happened, and what you want to do next.
00:07:08.560 --> 00:07:12.639
For each goal, ask yourself, is this still important to me?
00:07:12.959 --> 00:07:24.560
You need to determine why you want it in the first place and have things, you know, changed that make it less relevant now, or perhaps even more relevant than it was in January.
00:07:24.800 --> 00:07:28.560
Sometimes we hold on to goals just because we made them.
00:07:28.800 --> 00:07:32.319
But circumstances do change and priorities change.
00:07:32.480 --> 00:07:37.040
We learn things about ourselves and our lives that we did not know at the beginning of the year.
00:07:37.279 --> 00:07:44.000
A goal that made sense in January may no longer be the right goal now, in this year, time of the year.
00:07:44.160 --> 00:07:46.160
And that's totally okay.
00:07:46.399 --> 00:07:54.560
There is a difference between abandoning something because it is difficult and making a thoughtful decision that it no longer serves you.
00:07:54.800 --> 00:08:03.040
The purpose of this review is not to force yourself to complete every resolution that you wrote down, it's to make sure that you're pursuing the right ones.
00:08:03.839 --> 00:08:07.040
Step two, assess your actual progress.
00:08:07.279 --> 00:08:12.639
Once you've identified the goals that still matter, take an objective look at where you stand.
00:08:13.120 --> 00:08:15.120
What have you accomplished so far?
00:08:15.519 --> 00:08:16.959
What progress have you made?
00:08:17.040 --> 00:08:22.319
Even if you've not reached the final outcome, you've probably done some work.
00:08:22.639 --> 00:08:26.879
So, what has been working and what has maybe gotten in the way?
00:08:27.120 --> 00:08:28.959
I want to emphasize something here.
00:08:29.279 --> 00:08:32.320
Progress is not always the same as completion.
00:08:32.559 --> 00:08:41.919
If your goal was to improve your health and you've been exercising more consistently, that counts, that matters, even if you've not reached the original target.
00:08:42.159 --> 00:08:52.480
If your goal is to grow your business and you've developed a new service or strengthened your network, improved systems and such, even if the revenue has not yet caught up, that's okay.
00:08:52.720 --> 00:08:59.679
If your goal is to learn a new language and you started a course to do so, you've not accomplished nothing.
00:08:59.840 --> 00:09:01.519
You started learning a new language.
00:09:01.679 --> 00:09:04.879
Now you adjust the goal to have more specificity around it.
00:09:05.120 --> 00:09:11.360
Sometimes people look only at the final result and overlook the work that has already been done.
00:09:11.679 --> 00:09:16.159
That can create unnecessary discouragement and make it harder to continue.
00:09:16.399 --> 00:09:22.159
At the same time, we need to be willing to acknowledge when we have not made progress.
00:09:22.399 --> 00:09:26.000
If you haven't touched a goal since February, you know, acknowledge that.
00:09:26.159 --> 00:09:28.399
Not with shame, but with accuracy.
00:09:28.639 --> 00:09:33.440
You cannot make a useful plan based on an inaccurate assessment.
00:09:33.759 --> 00:09:36.960
Step three, identify what got in the way.
00:09:37.279 --> 00:09:40.559
This is where evaluation becomes especially valuable.
00:09:40.720 --> 00:09:46.799
Rather than simply saying, I need to try harder, ask yourself, what actually got in the way?
00:09:46.960 --> 00:09:48.960
What prevented you from making progress?
00:09:49.200 --> 00:09:54.960
Was the goal maybe too vague, or did you underestimate how much time it would take to get that accomplished?
00:09:55.200 --> 00:09:58.799
Or did you take on maybe just too many things altogether?
00:09:59.200 --> 00:10:02.559
This is very different from lacking motivation.
00:10:02.799 --> 00:10:06.240
I often work with clients who have more than enough motivation.
00:10:06.399 --> 00:10:11.200
They have wonderful ideas, ambitious goals, and a genuine desire to accomplish them.
00:10:11.519 --> 00:10:16.639
What they did not have is a realistic structure for making those things happen.
00:10:16.879 --> 00:10:21.600
So step four, decide what is realistic for Q4.
00:10:22.080 --> 00:10:27.039
Now we get to the part that can really change the trajectory of your year.
00:10:27.200 --> 00:10:34.559
Look at the goals that still matter and ask what I can realistically accomplish between October 1st and December 31st.
00:10:34.799 --> 00:10:43.679
Notice that I said realistically, this is not the time to take every unfinished goal from January and cram it into the final quarter.
00:10:43.919 --> 00:10:49.360
This will not go well, and you might just become overwhelmed and totally disappointed.
00:10:49.600 --> 00:10:58.799
Instead, choose the goals that will have the highest and greatest impact that you can reasonably move forward with in the time available.
00:10:59.039 --> 00:11:05.200
Keep in mind, sometimes the most productive decision is to remove a goal from your list altogether.
00:11:05.679 --> 00:11:07.360
Maybe it's next year's goal.
00:11:07.600 --> 00:11:10.879
Step five, work backward from December.
00:11:11.120 --> 00:11:16.879
Once you've selected the priorities and goals you want to achieve, then you want to work backward.
00:11:17.120 --> 00:11:19.039
Imagine it's December 31st.
00:11:19.200 --> 00:11:22.320
What would you like to be able to say you accomplished during the final quarter?
00:11:22.480 --> 00:11:23.600
Now be specific.
00:11:23.840 --> 00:11:30.639
Instead of I made progress on learning a language, perhaps it is I completed the second level of the course.
00:11:30.879 --> 00:11:40.159
Instead of I got healthier, perhaps it's I established a consistent exercise routine and scheduled the medical appointments I'd been putting off.
00:11:40.720 --> 00:11:45.679
Instead of I got more organized, perhaps it's I organized the entire garage.
00:11:46.000 --> 00:11:50.639
Then ask yourself, what needs to be completed by the end of November?
00:11:50.960 --> 00:11:53.440
And what needs to happen in October?
00:11:53.919 --> 00:11:56.720
And then what needs to happen this week?
00:11:57.039 --> 00:11:58.639
You want to break it down.
00:11:58.799 --> 00:12:01.679
This is where the goal becomes doable.
00:12:02.480 --> 00:12:09.279
A large goal can often feel overwhelming because we're looking at the entire distance between where we are and where we want to be.
00:12:09.440 --> 00:12:13.759
But when we break it into smaller milestones, we can identify the next action.
00:12:13.919 --> 00:12:16.960
And the next action is what matters most.
00:12:17.360 --> 00:12:20.159
You do not have to complete the entire goal today.
00:12:20.399 --> 00:12:24.399
You just have to know what you're doing today that moves you toward it.
00:12:24.559 --> 00:12:30.320
Now, I have to say something that probably will not surprise anyone who listens to this podcast regularly.
00:12:30.559 --> 00:12:33.600
If you want to accomplish something, you need to make time for it.
00:12:33.919 --> 00:12:38.960
If you never reserve time to work on your goal, you're leaving its completion to chance.
00:12:39.039 --> 00:12:43.200
And chance is not a particularly reliable productivity strategy.
00:12:43.440 --> 00:12:45.039
Look at your calendar.
00:12:45.279 --> 00:12:47.279
Where will the tasks happen?
00:12:47.519 --> 00:12:49.360
What days and times are realistic?
00:12:49.519 --> 00:12:58.320
What existing commitments might need to be reduced, delegated, or eliminated to create the necessary capacity to do this new thing.
00:12:58.559 --> 00:13:02.080
This is especially important as we approach the holiday season.
00:13:02.320 --> 00:13:07.360
November and December often bring additional personal and professional demands.
00:13:07.600 --> 00:13:11.519
All those extra commitments can consume more time than we anticipate.
00:13:11.679 --> 00:13:13.039
So plan accordingly.
00:13:13.200 --> 00:13:23.600
If you know that December will be unusually busy, do not create a new plan for this goal that assumes you will have the same availability in December that you may have in October.
00:13:23.919 --> 00:13:30.960
Plan around the life you actually have, not the imaginary calendar you wish you had.
00:13:31.360 --> 00:13:34.559
All right, finally, build in a weekly review.
00:13:34.720 --> 00:13:38.080
One of the most effective ways to prevent your goals from disappearing again.
00:13:38.320 --> 00:13:40.960
Establish a simple weekly review.
00:13:41.120 --> 00:13:43.679
This can be done in 15 to 20 minutes tops.
00:13:43.759 --> 00:13:47.200
At the end of each week, just ask yourself, what did I accomplish?
00:13:47.279 --> 00:13:49.519
What did I intend to do but didn't do?
00:13:49.759 --> 00:13:53.120
What got in the way, and maybe what needs to happen next week.
00:13:53.360 --> 00:13:56.559
Then look at your calendar and make sure you have a place for it.
00:13:56.720 --> 00:13:59.759
If you need to make an adjustment, this is the time to do so.
00:14:00.000 --> 00:14:02.879
Not everything goes exactly according to plan.
00:14:03.039 --> 00:14:07.039
Knowing when to pivot is the secret behind this success.
00:14:07.679 --> 00:14:12.320
Be careful not to criticize yourself here or at any point in the process, really.
00:14:12.559 --> 00:14:14.559
That kind of thinking rarely helps.
00:14:14.799 --> 00:14:18.399
There may be legitimate reasons you did not make the progress you expected.
00:14:18.559 --> 00:14:26.159
Perhaps you experienced a major life change or a health issue or a new family responsibility or a shift in your business.
00:14:26.320 --> 00:14:29.360
Perhaps you simply misjudged what was possible.
00:14:29.600 --> 00:14:34.799
Just learn from that information and don't use it as evidence that you are incapable.
00:14:35.039 --> 00:14:39.039
Don't overlook what you actually accomplished along the way, too.
00:14:39.440 --> 00:14:42.639
All right, so here is what you can do before October begins.
00:14:42.879 --> 00:14:47.840
One, set aside some uninterrupted time to review your year's goals.
00:14:48.080 --> 00:14:52.240
Pull out the list you made in January or write down what you remember.
00:14:52.960 --> 00:14:55.360
Two, identify what still matters.
00:14:55.519 --> 00:15:01.600
Acknowledge what you've already achieved and look honestly at what has not happened and why.
00:15:01.919 --> 00:15:07.440
Three, choose a small number of priorities for the final three months of the year.
00:15:07.759 --> 00:15:12.080
Four, define what success would look like by December 31st.
00:15:12.159 --> 00:15:19.919
Then break those priorities into monthly and weekly milestones and schedule the time necessary to work on those.
00:15:20.159 --> 00:15:28.080
And five, perhaps the most important, decide what you're willing to stop doing or do less of to make room for what matters.
00:15:28.159 --> 00:15:35.120
Because we can't continue adding new things into our schedule without considering the capacity required to fulfill them.
00:15:35.519 --> 00:15:39.279
The end of the year has a way of arriving whether we're ready for it or not.
00:15:39.519 --> 00:15:43.519
But you do not have to wait until December to find out how the year turned out.
00:15:43.759 --> 00:15:47.120
So before Q4 begins, take a look at your goals.
00:15:47.279 --> 00:15:58.799
Give yourself the opportunity to finish the year with purpose because it will be much more fun to celebrate in December your accomplishments versus discovering what you forgot to even pursue.
00:15:59.279 --> 00:16:03.600
